Excel and Power BI
You don't need a developer. Excel's built-in Power Query can load the data as a table and refresh it with one click, or every time the file opens.
This works in Excel for Microsoft 365 (Windows) and Power BI Desktop. You need your API key.
Set it up in Excel
- Open a new workbook. Go to Data > Get Data > From Other Sources > Blank Query.
- In the Power Query window, choose Home > Advanced Editor, delete what's there, and paste the query below. Replace
PASTE-YOUR-KEY-HEREwith your key. For journals, changeconferencestojournals. - Click Done. If Excel asks how to connect, choose Anonymous and Connect (the key is already in the query).
- Rename the query (for example "Conferences") and choose Home > Close & Load. The data appears as a table on a new sheet.
let
// Your API key. Anyone who has this workbook can see it, so share the file carefully.
ApiKey = "PASTE-YOUR-KEY-HERE",
// conferences or journals
Dataset = "conferences",
Source = Web.Contents(
"https://api.orbytelgroup.com/v1/exports/" & Dataset,
[ Query = [ format = "csv" ],
Headers = [ Authorization = "Bearer " & ApiKey ] ]),
Csv = Csv.Document(Source, [ Delimiter = ",", Encoding = 65001, QuoteStyle = QuoteStyle.Csv ]),
Table = Table.PromoteHeaders(Csv, [ PromoteAllScalars = true ])

Table
Keep it current
- Refresh now: Data > Refresh All.
- Refresh automatically: Data > Queries & Connections, right-click the query, Properties, then tick Refresh data when opening the file and, if you like, Refresh every … minutes.
- Each refresh downloads your whole licensed dataset (a few MB). Data changes within minutes of being saved by our team, so refreshing more often than every hour or so rarely adds anything.
Filtering and shaping
- Use Excel's normal filters on the table, or filter in Power Query (Data > Get Data > Launch Power Query Editor) so the sheet only ever holds the rows you want, for example 2027 oncology meetings.
- List fields hold several values separated by
;:therapy_areas,organizationsandtags(each tag asType: Name, for exampleAudience: Oncologists). Power Query's Split Column > By Delimiter turns them into rows. - Nested fields are separate columns:
formats_oral,social_x_handle,citescore_value,timelines_online_submit_to_accept_min_weeksand so on. True/false values areTRUE/FALSE. - Dates are
YYYY-MM-DD. If Excel doesn't recognise them as dates, set the column type to Date in Power Query. - Check the date-status columns (
start_date_status,abstract_due_date_status) before relying on a deadline:confirmeddates are published by the organizer;estimatedandcopiedones are not yet.
Power BI
In Power BI Desktop choose Get Data > Blank Query, open the Advanced Editor, and paste the same query. To refresh in the Power BI service, set the data source credentials to Anonymous in the dataset's settings.
If something goes wrong
| You see | What to do |
|---|---|
| "Access to the resource is forbidden" or a 401 error | The key is wrong, revoked or expired. Check it's pasted in full between the quotes. |
| A 403 error | Your license doesn't include that dataset. Contact Orbytel Group. |
| Excel asks for credentials again | Data > Get Data > Data Source Settings, select the api.orbytelgroup.com entry, Edit Permissions, set Anonymous. |
| Accented characters look wrong | Make sure the query says Encoding = 65001 (UTF-8). |
